Using Technology to Boost Your Productivity

Spring is almost here although you wouldn’t know it by looking out of the window. However, that means business will be picking up and you’ll need to be your most productive to meet the demands of Spring buyers and sellers. Here are 3 technology tools that every Real Estate agent should be using to maximize their time.

Smart phones have allowed people to take their office with them.  This frees you to stay out in the field with clients, get contracts signed on the go, and even Google new listings with your clients while sitting in the car. It’s all about access to information. The ease and speed with which you can access information for you or your clients will determine your productivity level.

However, to do so you must be able to connect to the Internet from anywhere. You can’t count on the home you are showing or the Starbucks you’re killing time to have the Wi-Fi service you need to access the Internet. It’s worth the money to pay for the service that turns your smart phone into a Wi-Fi hotspot that allows you to use your tablet or laptop to access the internet. Always having access to the information you need to excel at your job will make all the difference for your clients.

Instead of jamming up your laptop computer’s hard drive with contracts, photos, check lists, videos, and other documents needed to secure clients and close deals, use a storage service like DropBox to store them. DropBox securely stores those files and you can then access the information from your laptop, tablet, or smart phone, as long as you have Internet access. With DropBox, you can start out with a free plan and see how much storage space you need and if needed, pay for a larger storage plan. DropBox is a great way to untether yourself from the office and your desktop computer.

Sick of losing those little pieces of paper or sticky notes with your to-do list? Can’t find the phone number of that person you need to call back? Ever leave your to-do list sitting on your desk when you really need it at home? No problem! EverNote is a digital list making and note taking app that allows you to sync your master lists together on all of your digital devices. Create your lists and notes and it automatically syncs up between your phone, tablet, laptop and desktop computer. So instead of writing little post it notes, you just create master lists that you can access anywhere, from any device.

Here are some suggestions on how to use EverNote to be more productive:

To-Do Lists
Create one master task list for yourself or can create several lists for professional and personal use. Creating a to-do list for each client or project you are working helps so nothing slips through the cracks. You won’t forget to send the information your client requested, call new prospects, or submit that advertisement on time.

Call Lists
While you have downtime traveling between appointments or sitting in Starbucks killing time until your next meeting, get out your Call List and start making those prospecting or follow up calls.

Client Notes
Take notes while you are showing homes on what your clients like, what they don’t like and any questions they have that you need to research. This way when they are thinking back to the homes they viewed that day you can remind them of what they were thinking. You can also keep track of what you need to do to follow up with a prospect to secure their business or capture the negotiation parameters your client is willing to use to secure their dream home.
